ESSENTIAL FUNCTIONS

The Director of Operations provides overall direction and leadership for all activities related to finance and accounting, administration, facilities, and human resource process for the Idaho Chapter of The Nature Conservancy.  This includes guiding staff state-wide in  finance and accounting, government grants and contracts, training, development and implementation of annual budgets, human resource processes, and in satisfying the administrative requirements of TNC policies and procedures. Works closely with all members of the Idaho Team, Chapter Trustees and others to ensure that these responsibilities are effectively and consistently discharged.  Duties are highly confidential and require broad and comprehensive knowledge of TNC’s policies.  The Director of Operations reports to the State Director and supervises positions in both Hailey and Boise.

 

BASIC QUALIFICATIONS
  • Bachelor’s degree and 5 years related experience or equivalent combination.
  • Experience overseeing multiple central administrative processes, such as facility management, telecommunications, general maintenance/repairs, central services, mailroom operations, central filing, telephone/public reception, printing, maintaining office supplies, and/or general purchasing requests, or equivalent.
  • Experience using MS office, Word, and Excel. Experience manipulating, analyzing and/or interpreting financial or other data.
  • Supervisory experience managing a multi-disciplinary team.  
  • Experience in developing and administering departmental budget of over $2Million,including experience in financial analysis.
  • Experience in designing, implementing and directing multiple projects.

PREFERRED QUALIFICATIONS

  • Bachelor’s degree and 5 years experience in accounting or finance or equivalent combination.  Non-profit accounting and U.S. government grants accounting experience preferred.
  • Successful experience in developing, directing and managing multiple projects and implementing strategic program goals.
  • Supervisory experience, including ability to motivate, lead, set objectives, and manage performance, including conflict resolution.
  • Experience with MS Office (Word and Excel).  Technical command of spreadsheet programs, general ledger reports and other financial management tools.  Ability to manipulate, analyze and interpret data.
  • Experience using organizational and analytical skills and attention to detail.
  • Technical expert on complex accounting/financial issues.
  • Experience using and maintaining automated systems.
  • Working knowledge of current trends in relevant discipline.
  • Service oriented.  Courteous, personable, tactful and experience dealing effectively and sensitively with all levels of staff and public.

 

ADDITIONAL JOB INFORMATION

 

RESPONSIBILITIES:

 Finance and Accounting:

  • Supervise all accounting functions including the accounts payable system and processing of internal financial forms.  Monitor financial status of operational, program, land acquisition and endowment fund centers.  Identify problem areas and advocate solutions.
  • Oversee the annual planning, budgeting and forecasting process. Prepare quarterly financial reports for the Trustees.  Coordinate closely with the Board’s Finance Committee to prepare financial presentations for the full Board, State Director and Management Team.
  • Ensure efficient functioning and documentation in all financial systems.
  • Provide leadership, training and guidance to program managers concerning financial issues and budgeting.
  • Working with the Grants Specialist and Chapter staff, oversee contract preparation, legal review and administration of all federal and state grants.  In coordination with Grants Specialist monitor financial status and accounting of all grants and contracts as appropriate.

Administration

  • Assist with the development, review, preparation and implementation of strategic plans, annual operating plans and quarterly reports.
  • Oversee the selection of office space and associated furnishings, phone services, computer equipment needs and ensure appropriate maintenance, insurance and security services are in place at all locations.
  • Working with Divisional and World Office information systems staff and Chapter TIS staff, plan for the purchase, installation, and training of all Conservancy standard hardware and software packages.
  • Act as liaison with staff from the World Office to ensure coordinated, timely and professional implementation of TNC administrative policies and procedures.
  • Organize staff meetings and facilitate internal communications
  • Schedule and coordinate all aspects of bi-annual staff retreats and special events such as holiday parties

Human Resources:

  • Coordinate, monitor, and assist with processing human resource transactions, ensuring compliance with legal and Conservancy policies and procedures (in partnership with the Regional Human Resource Manager).
  • Coordinate processes for employee recruitment, selection, hiring, performance evaluation, and termination.  Maintain confidential personnel records.
  • Coordinate orientation of new employees.  Monitor needs and opportunities, and coordinate training, skills enhancement, and further education for all staff. Coordinate ongoing staff training related to administrative and financial policies and procedures.
  • Assist supervisors in identifying resources to help resolve personnel issues and conflicts.
  • Provide information to supervisors and employees on training and promotional opportunities.
  • Distribute human resources information to staff.
