The Position

The Development Associate assists in the implementation of UCS’s major gifts fundraising strategies, providing essential support to the major gifts team and to the Chief Development Officer. The Development Associate works closely with Development Officers to plan donor trips, organize, draft and track communications with donors and prospects, and maintain donor records. Responsibilities include coordinating travel logistics, scheduling meetings with prospects, creating and organizing lists for review, and preparing personalized correspondence and proposals for major gift prospects and other leadership donors and volunteers.

Responsibilities

  • Provide administrative support to Chief Development Officer; draft correspondence, prepare materials for meetings, plan travel itineraries, and other duties as required.
  • Coordinate travel arrangements for donor meetings, trips and events, including booking air, hotel, and car reservations, preparing maps, itineraries, personalized materials for meetings, and providing other travel support materials on a timely basis.
  • Create queries and exports from Raiser’s Edge database in preparation for staff trips and donor outreach.  Vet, organize and prioritize list to identify top prospects for relevant outreach.  Contact donors to schedule visits as requested.  Work with Development Officers to track, record, and follow up on prospect responses for visits and high-level events, including updating contact rules, attributes, and actions in Raiser’s Edge.
  • Assist with follow up from prospect/donor meetings and events including drafting thank-you notes, researching and drafting responses to requests for information on UCS programs, reports and positions, preparing materials for mailings, and ensuring that records have been updated as appropriate.
  • Coordinate individualized contact with individual donors when UCS member publications and reports come out. Pull lists for review, track individuals held from general mailing, prompt Development Officers to create personalized notes and assist with drafting, mailing and recording actions in database.
  • Draft and produce other miscellaneous correspondence to prospects and donors, including cover letters, boilerplate emails, and responses to high-level donor inquiries about UCS work.
  • Prepare cover sheets, budgets/financial reports, and supporting materials for formal inquiry letters, proposals and reports to family foundation and individuals. Proof narratives for submissions and format and compile documents to ensure polished presentation and meet strict deadlines.
  • Make thank-you calls and send emails to donors on a weekly basis.  Track in Raiser’s Edge.
  • Participate in relevant team meetings. As needed, support production of personalized in-house mailings to leadership donors and prospects, including cultivation mailings, Annual Report mailing and end-of-year solicitations.
  • Develop and maintain familiarity with UCS areas of work and perform other related functions as directed.

 

Qualifications and experience

Excellent writing, editing, organizational skills.  Ability to manage competing priorities from multiple team members in a deadline-driven environment. Familiarity with major gifts and development operations. Database experience is required, Raiser’s Edge preferred. Excellent customer service and interpersonal skills. Must be attentive to detail. Ability to work independently as well as part of a team is important. Passion for UCS mission a must.  Bachelor’s degree minimum.

Two to four years’ development experience or equivalent. Requires strong written and oral communication skills, superior attention to detail. Previous work with donors, administrative support, and familiarity with databases preferred.  

At UCS, comparable training and/or experience can be substituted for degrees when appropriate.

Compensation, Hours and Location: This is a full-time position based in UCS’s Cambridge, MA office. For candidates who meet all position requirements, the salary is in the low $40,000s.
