The Wilderness Society (TWS), a national non-profit organization whose mission is to protect wilderness and inspire Americans to care for our wild places, is seeking an experienced full-time Development Assistant to join its Membership & Development team in Washington, DC.

The Development Assistant will provide administrative, fundraising and donor stewardship support to Membership and Development staff in the DC office. The Development Assistant will report to the Vice President of Membership and Development and will be expected to become knowledgeable in all facets of the department.

The ideal candidate will possess a high work standard, the discretion to handle confidential information, the ability to quickly learn new software, and be adept at setting priorities and anticipating needs. 

Expectations & Responsibilities

  • Provide administrative support to Vice President and Senior Director of Major Gifts including: scheduling meetings and appointments, making travel arrangements, creating expense reports, proofreading documents, coordinating internal and outgoing mail, creating and maintaining files, copying, and answering phones.  Provide administrative assistance to Senior Director of Membership, Senior Director of Foundations and Corporations, and Manager of Volunteer Relations on an as needed basis.
  • As directed, enter and track data on current and prospective donors and related projects in database, ensuring accurate and timely information is developed and stored.
  • Prepare and complete process for gift acknowledgement letters (including but not limited to tributes, workplace giving, mid-level and major gift donors).  Facilitate receipt, routing, and acknowledgement of all donor-related communication. 
  • Receive, sort and distribute incoming mail (including donations in the form of checks, cash, or credit card).  Prepare and distribute daily check log for Development gifts.
  • Provide back-up for gift processing, including data entry of contributions, pledges, pledge payments, gifts of stock, bequests and other planned gifts, and adjustments.
  • Assist with planning and logistics for special events and meetings, including donor meetings, Board meetings and fundraising events.  Assist staff in coordinating materials for meetings, reports, projects and mailings.
  • Assist with requests for vendor services and invoicing.  Process expense reimbursements.
  • Special projects and other tasks as assigned.

Qualifications:

  • Previous work experience in a fundraising or development office environment.
  • Excellent interpersonal and communication skills to interact effectively with various staff, donors, and outside professionals.
  • Superior organization skills and attention to detail; ability to set timelines and meet deadlines.
  • Able to handle shifting priorities, coordinate multiple projects, and assist multiple staff members simultaneously.
  • Able to work independently with limited supervision in a busy and dynamic team-oriented environment.
  • Trustworthy and professional; able to maintain confidentiality.
  • Experienced and confident user of Microsoft Office and fundraising database software such as Team Approach or Raiser’s Edge.  Interest in fundraising and environmental issues a big plus.
  • College degree or equivalent experience as described above.
