Development Assistant, New York Office

The Natural Resources Defense Council (NRDC) is a global non-profit environmental organization with more than 1.2 million members and online activists.  We have offices in New York, Washington, D.C., San Francisco, Los Angeles, Chicago and Beijing, China.  Our staff of over 350 includes lawyers, scientists, economists, and policy experts who work to protect the environment and public health through advocacy and education.

Position Summary:

The Development Assistant for the Development Operations team is one of two assistants that help meet the daily demands of the department, which include maintaining the department’s databases and recordkeeping; proofing and sending out proposals and reports; assisting the Director of Development Operations, Development Operations Managers, and Development staff in other offices in the daily execution of Development and Fundraising activities.  The Development Assistant is also in charge of tracking grants and is a go-to for program staff throughout the organization.

Essential Functions:

  • Processing grants paperwork and working with Finance to ensure proper grants management.
  • Maintaining PledgeMaker database and hard files.
  • Facilitating coalition grants and ensuring the expedition of coalition grant contracts and payments to partner organizations.
  • Providing general administrative support for the Director of Development Operations and Development Operations Managers; serve as liaison for Development staff in all offices.
  • Proofreading proposals, reports, and correspondence, and ensuring their delivery to Foundations in a correct and timely manner; maintaining the requisite backup for files.
  • Drafting donor correspondence and grant acknowledgement letters.
  • Mail merging documents from various sources and getting out large mailings.
  • Maintaining annual report and special events lists
  • Scheduling and facilitating various staff and Board of Trustees meetings as well as donor lunches and breakfasts.
  • Scheduling and setting up conference calls and videoconferences.
  • Maintaining files and managing incoming phone calls.
  • Copying and distributing documents
Required Experience

Skills and Knowledge Requirements:

  • Proficient in Office 2007, including Word, Excel and Access.
  • Good written and oral communication skills; ability to work well with different people, organize a number of tasks, and set priorities.
  • Meticulous attention to detail and the ability to locate and correct paperwork at all levels of the grant-tracking process.
  • Ability to work accurately and with composure under deadline pressure; willingness to be available for occasional overtime work.
  • Self-directed, with the ability to prioritize and simultaneously work on multiple projects.
  • Excellent knowledge of word-processing, spreadsheets, databases, the Internet, and electronic communication; prior office experience required.
  • Knowledge of PledgeMaker and Great Plains a plus, but not required.
  • Interest in environmental issues a plus.
