Primary responsibilities are to oversee all incoming traffic to the PIDI and Convio databases, maintain sound quality control processes, and ensure clean data. Duties include ensuring data integrity by enforcing protocols, establishing thoughtful quality control measures, and managing caging firm (DMP) and credit card processing vendor (PSI). Other key responsibilities include frequent assessment of process integrity, identification of weak links, risk assessment, and development and implementation of solutions. This position directly supervises the Revenue Processing Associate.

Essential Duties and Responsibilities
Vendor Management

Manage Defenders’ relationship with caging firm (DMP) and credit card processing (PSI) vendors and monitor performance. Set expectations for responsibilities and ensure that vendors meet them. Work with vendors to ensure expected performance is maintained, especially at critical times such as fiscal year end, calendar year end, and month end. Hold weekly conference calls with account manager(s) and pertinent internal staff and quarterly on-site meetings to revisit current processes and potentially make enhancements. Verify and approve vendor invoices.
Audit DMP data entry practices regularly and put in place steps to minimize data entry errors, reduce processing time, maximize efficiency, and reduce cost to Defenders. Perform periodic quality control checks by reviewing processed batches/files.
Audit PSI charge processing practices regularly and put in place steps to minimize data errors/anomalies, streamline functionalities where it would improve efficiency and reduce cost to Defenders.
Design and execute quality control and management reports to identify gaps immediately and implement practical solutions to resolve the issue(s). Ensure all pertinent internal staff and/or vendor staff have proper instructions, manage timelines, and validate accuracy of the solution.
Communicate PIDI outages, updates, and keying instructions to all vendors in a timely manner.
Data Management

Effectively manage creation and up keep of key coding in PIDI such as source codes, flags, and interest codes. Develop and maintain standard protocols/templates for all incoming files for both PIDI and Convio.
Liaison with Finance and oversee financial reconciliation with PIDI and Convio. Create cross-departmental processes to streamline refunds, premium fulfillment, and other overlapping functions. Perform monthly revenue reclass and provide information to Finance.
Conduct year end activities including mapping over fund codes, creating new white mail codes, inactivating old mail codes, etc.
Create standard data clean up routines to capture incorrect data and fix the issue in PIDI and Convio.
Apply data appends, and overlays to both PIDI and Convio.
Other

Participate in development of all new fundraising initiatives and consult on best approach in terms of data flow and cycle. Manage and streamline processes for all fundraising initiatives that impact data in PIDI or Convio.
Provide regular updates/briefings to fundraising teams to keep everyone up to date on data/file strategies, vendor protocols, timelines, etc. Identify possible training needs for fundraising staff to improve their knowledge base or to implement new processes.
Assist with streamlining reports and outputs. Assess the link between output requirements and data elements and recommend best practices to map data accordingly to facilitate streamlined and efficient reporting.
Manage the Revenue Processing Associate. Ensure that duties are clearly communicated and that expectations are met. The Manager will act as back-up to this position and will oversee thorough documentation of the Associate’s standing tasks and create sufficient redundancy and cross training.
Assist in the development of short- and long-range operating objectives and organizational structure.
Perform all other related duties as assigned.

Qualifications
Education: Bachelor’s (B.A./B.S.) degree in Computer Science or other related fields. 
Experience: 3+ years of gift processing/database management work experience.
Basic reporting /analytics management skills are highly desirable.
Experience managing databases/integrated systems is required.
An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and experience listed above.
