Job Title: Data Systems Coordinator

Department: Office of Development (OoD)

Reports To: Director, Development and Membership Operations

Context: Performs a wide variety of operational and administrative functions related to financial and program analysis and data segmentation/selection work for various programs within the department.

Scope: The Data Systems Coordinator assists in managing the Club’s database and data selection/segmentation function. Assists in planning, developing, implementing and tracking fundraising campaigns. The Data Systems Coordinator is responsible for technical/systems analysis and segmentation of the member donor database and works closely with the Office of Development (OoD) program managers, other Club staff, and vendors.

Job Activities:

1. Supports the OoD Associate Director, Development Marketing Systems in developing and executing data selection/segmentation plans using applicable data systems for membership and fundraising campaigns based on specifications from program managers. Reviews data selection requests to insure the accuracy of selection criteria and that program objectives are achieved. Monitors processes and output/product from data systems. Provides systems and data management support, ensures data integrity and coordinates scheduling of membership and fundraising efforts across programs and mediums.

2. Coordinates the membership/fundraising, constituent/user management/maintenance and data/technical aspects of the Club’s Electronic Outreach System (Convio). Identifies, recommends and implements new work processes that will continuously improve productivity related to the Electronic Outreach System. Trains Development and Member Services staff in using the System.

3. Under the direction of OoD staff, supports Club’s email fundraising programs, including data selection/segmentation, set up of email and donation forms, and scheduling and maintenance of email in Convio.

4. Provides OOD Staff with administrative support in developing, monitoring and analyzing program components including forecasts, schedules and budgets to help measure performance and to identify changes/enhancements to reports and procedures related to the measurement of program and financial performance.

5. Develops, implements, tracks and reports on email fundraising and electronic outreach efforts including electronic renewals, fund appeals, reinstates, membership acquisition and stewardship communications.

6. Prepares status reports on results. Researches and prepares special projects and reports related to the programs. Generates and distributes reports to program managers, staff and vendors, as needed.

7. Maintains current knowledge base of member concerns, environmental issues, conservation campaigns and initiatives; champions these internally to staff and volunteers. Maintains current knowledge base of best practices in online/email fundraising.

8. Works collaboratively with staff in various Club Departments, including but not limited to Development, IT, Conservation and Communications/Website.

9. Updates member records and other databases as necessary.

10. Undertakes special projects and performs miscellaneous duties as directed.
