Description

The Program Coordinator will provide operational, administrative, and targeted programmatic support to the US Climate team, supporting a broad range of initiatives with an immediate focus on tracking and helping execute projects related to federal and state climate action.  The position, based in Washington, D.C., will report to the Vice President, US Climate.

Key Responsibilities:

The Program Coordinator will provide comprehensive operational and administrative support for the US Climate Team, developing strong systems and managing ongoing projects to facilitate successful pursuit of the team’s objectives. Responsibilities include:

  • Draft and approve contracts, process expenses and financial invoices, help to manage consultants within the EDF system
  • Track program expenditures, milestones, and key deliverables against budget and grants, assist in updating monthly financial and programmatic reports, and work with the program financial analyst and other key staff to identify and rectify variances or other concerns
  • Coordinate the Vice President’s meeting and travel schedule, and maintain calendar in Outlook.  Support scheduling and administrative priorities of other senior staff as needed. Book conference rooms and video conferencing services as required 
  • Serve as the VP’s liaison to various internal and external constituencies, including screening correspondence and keeping the executive informed of all time-sensitive matters
  • Assist senior staff as needed in preparing for meetings and appointments with donors, Board Members, staff and external constituents, securing information and supporting materials from other departments
  • Manage travel booking (air, hotel, and ground transportation) for senior staff as needed and assist in resolving logistical travel issues, prior to and during travel 
  • Organize and attend team meetings; coordinate and communicate logistics for staff; prepare agenda drafts and background; work to ensure follow-up actions
  • Assist project leads in utilizing systems to facilitate internal communications around key projects
  • Coordinate closely with Development liaison to monitor and track all development activities
  • Conduct research; draft, review, edit documents; create and implement systems for tracking and managing information and relationships

Qualifications

  • Bachelor’s degree with at least three years of experience
  • Demonstrated project management, organizational, and logistical skills
  • Ability to manage multiple projects, tasks, and deadlines concurrently and prioritize seamlessly where needed
  • Ability to be responsive, focused, and calm while juggling multiple requests in a fast-paced environment
  • Excellent research, written, and oral communication skills
  • Demonstrated ability to work independently and collaboratively, anticipating issues and resolving conflicts
  • Ability to work productively and collaboratively with colleagues located in multiple offices and time zones, and with key external stakeholders
  • Strong Microsoft Outlook, Word, Power Point, and Excel skills
  • Ability to track expenses and monitor a budget
  • Ability to adeptly handle confidential information, with proclivity for discretion and tact
  • Exceptional organizational skills and attention to detail
  • Enthusiasm for providing operational leadership and building functional systems
  • Interest in EDF’s organizational mission, and our work in Climate specifically
