Job Title: Conservation Project Assistant
Location: Atlantic Regional Office, Fredericton, New Brunswick
Reports to: Associate Regional Vice President, Conservation, in Atlantic Canada

General Overview

The Conservation Project Assistant is responsible for assisting the Associate Regional Vice President, Conservation, in all aspects relative to the management and administration of regional land securement activities. The Conservation Project Assistant will be principally responsible for providing oversight by coordinating and performing administrative functions related to NCC Atlantic’s land holdings and associated data (both hardcopy and electronic) and providing assistance to the Associate Regional Vice President, Conservation, when needed.

Reporting and Relationships

The Conservation Project Assistant reports to the Associate Regional Vice President, Conservation. The individual also works closely with Program Managers, science and stewardship staff as well as National Office staff.

Key Responsibilities

  • Quality assurance (e.g., proof reading) for land documents including land use agreements, easement/covenant agreements, and purchase and sale agreements;
  • Ongoing training and input for development of new Land Information System (LIS);
  • Ensure proper name creation of files is adhered to and input into the Project Name Database (PND) created within the new Project, Expense and Time Entry Recorder (PETER) Database;
  • Answer general enquiries relevant to land holdings and related issues;
  • Provide support for events taking place in the Atlantic Region ( Regional Board Meetings, Gifts to Canadians, National Board Meeting, etc);
  • Takes lead role in preparation of regional and national reports and materials pertaining to land conservation, including project updates and approvals;
  • Coordinate with Program Managers and science staff to ensure the submission of regional Year-To-Date, Schedule of Project Funds and other reports as required to national office;
  • Coordinate with staff, while maintaining a continuous deadline schedule to submit project summaries, cheque requisitions, land/easement/covenant donation forms, property closing forms, HST and GST reports, tax receipts and required supporting documentation to National staff;
  • Ensure consistent records management and land information system and other NCC-wide record-keeping on a timely and accurate basis;
  • Maintain up-to-date property-related legal agreements and contracts;
  • Quality assurance and in-depth understanding of project budgets as they relate to appropriate funding programs and document requirements;
  • Assist National with relevant financial and species reporting on the Environment Canada Federal Partnership Program.

Education, Skills and Aptitudes

  • A Bachelor’s Degree in Biology, Ecology, Environmental Science or related discipline
  • Self-motivated, with superior time management skills and ability to work to meet deadlines;
  • Highly analytical and detail oriented;
  • A creative pro-active thinker;
  • Track record of working well within a team structure, including the enthusiasm to both lead and assist in projects;
  • Proficiency with MS Office Suite, and a demonstrated ability to learn new software applications efficiently;
  • A demonstrated awareness of conservation issues in Atlantic Canada;
  • Understanding and commitment to the role and mission of the Nature Conservancy of Canada;
  • Ability to work within a flexible schedule, including occasional weekends and evenings;
  • Bilingualism is an asset.
  • GIS experience would also be a great asset.
