ESSENTIAL FUNCTIONS

The Conservation Programs Assistant provides administrative, research, project management and other general assistance to the Director of Conservation Programs (DCP).  The Assistant will manage the DCP’s schedule on Microsoft Outlook and provide any necessary travel and meeting preparations including  weekly conference calls.   This includes sending meeting requests to participants, securing meeting venues, audiovisual equipment, and food.   The Conservation Programs Assistant will take meeting notes, send follow up reminders to responsible staff for action item deliverables, and email final action item products to meeting attendees.  The Assistant will manage contracts, making sure that deliverables are met and contractors are paid.  The Conservation Programs Assistant will perform the following tasks as necessary: attend site visits, take photos and short videos, proofread conservation documents, set up webex presentations, and develop, maintain and update online Sharepoint intranet site.  The Conservation Programs Assistant must be able to work independently, communicate effectively, be able to work on multiple tasks and have excellent organizational skills.  The Conservation Programs Assistant’s work is primarily based in an office setting with occasional field site visits.    

 

 

BASIC QUALIFICATIONS
  • Bachelor’s degree in biology, ecology, natural resources management or related field and 2 years related work experience or equivalent combination of education and experience. 
  • Knowledge of Microsoft Office suite. 
  • Experience coordinating multiple projects.
  • Experience handling standard business communications.

PREFERRED QUALIFICATIONS

  • Bachelors Degree in biology, ecology, natural resources management or related field and 2 years related work experience or equivalent combination of education and experience.
  • Manage DCP’s schedule including any needed prep for travel to meetings such as airline reservations, hotels, car rentals.
  • Demonstrated high level of organizational skills.  Must be able to organize self and others.
  • Demonstrated strong administrative skills, attention to detail and numerical ability. 
  • Adaptability and flexibility - Ability to manage multiple priorities, with assignments sometimes coming from a number of sources and work independently.
  • Demonstrated ability to schedule/plan meetings and small events and provide necessary meeting prep such as venue, food, copies of agenda and other reading materials, LCD projector set up.
  • Ability to plan, administer and record results of work-team meetings and activities.
  • Ability to complete tasks independently within assigned time frames
  • Ability to coordinate project information from a number of sources to populate databases, create reports and produce manual files.
  • Experience utilizing databases for data entry and report production preferred.
