POSITION SUMMARY

The Director of Operations is responsible for all operations functions in a small Business Unit, typically less than 20 staff. S/he will be responsible for functions such as finance, human resources, facilities, information systems, office management and/or safety.

ESSENTIAL FUNCTIONS

The Director of Operations will work towards meeting the strategic priorities of the program by developing and implementing tactics for approved plans, and completing and/or overseeing day-to-day tasks. S/he may be responsible for central administrative processes, including facility management, telecommunications, mailroom operations, supervising telephone/public reception, maintaining office supplies and equipment, and purchasing requests. S/he is responsible for development and implementation of annual budgets, and monitoring trends and progress, and working with staff to develop project and program budgets. S/he may provide assistance to all levels of staff on HR administrative issues, working closely with the Regional HR Business Partner. The Director of Operations provides guidance in satisfying requirements based on extensive knowledge of policies and procedures. S/he will interpret guidelines and analyze factual information to achieve results, improve workflow, and solve problems. S/he will provide recommendations and targeted training related to the functional activity s/he manages. The Director also works in close cooperation with any or all of the following: Conservancy staff, donors, volunteers, vendors, public agencies, financial institutions, and legal and accounting professionals. S/he will keep up-to-date on market trends and best practices in order to improve services. S/he will organize and coordinate diverse activities, projecting outcomes, monitoring progress, and implementing solutions in consultation with leadership.

RESPONSIBILITIES & SCOPE

  • Act independently within broad program goals to prioritize tasks in the absence of specific instructions and exercise independent judgment to identify and solve problems.
  • Decisions may bind the organization financially or legally.
  • Ensure programmatic commitments, TNC policies and procedures, GAAP, and legal requirements are met and managed for compliance.
  • Provide timely and accurate financial reports and analysis to state director, board members and project managers
  • Develop and monitor budget, forecast, sustainability, and strategic financial plans
  • Perform general accounting duties, to include: basic journal entries for transfers, loans, land transactions, accruals, deferred revenue and expense corrections
  • Review and monitor Income Statement and balance sheet (including pledges) items at month and year-end close
  • Provide financial expertise on programmatic oversight, land or other special projects
  • Ensure Revenue, expenses and net assets are managed to reflect donor intent, this includes working with cross-functional teams to perform revenue allocation
  • Manage privately funded awards
  • Collaborate with Grants Specialists on managing public awards
  • Oversee day to day financial activities such as purchasing, processing invoices, negotiating and contracting with vendors
  • Maintains confidentiality of frequently sensitive and emotionally charged information.
  • Manage functional activity towards program’s strategic goals.
  • Manage projects with several variables, set realistic deadlines, manage a timeline, and ensure accountability.
  • May participate in complex negotiations.
  • May supervise administrative, professional and/or volunteer staff, responsibility includes training and professional development.
  • Travel occasionally, work long and flexible hours as needed.
  • Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
  • Work is diversified and may not always fall under established practices and guidelines.

MINIMUM QUALIFICATIONS

  • Bachelor’s degree and 3 years related experience or equivalent combination.
  • Finance / Accounting experience
  • Experience coordinating projects.
  • Experience generating financial reports, and analyzing and interpreting data.
  • Experience developing and administering departmental budget or equivalent.
  • Experience managing multiple central administrative processes.
  • Experience working across departments.
  • Supervisory experience.

PREFERRED QUALIFICAITONS

  • Experience in human resources administration.
  • Ability to implement complex processes.
  • Demonstrated experience handling confidential information.
  • Demonstrated experience using diplomacy and tact to build strong relationships and motivate staff.
  • Cross cultural experience and multilingual skills appreciated
  • Experience working with government awards a plus.
  • Experience interpreting guidelines to achieve desired results.
  • Strong organization and negotiating skills, accuracy, attention to detail and ability to manage multiple tasks.
  • Non-profit GAAP accounting experience
