Executive Assistant/Bookkeeper

Our value proposition grants us access to the highest levels of government, NGOs, advocacy groups, consumer brands and the extractives industry and we are focused organizationally on growing adoption of our system with industry and building a recognizable and valuable brand with consumers. We are currently expanding our team to meet these needs and look for an Executive Assistant/Bookkeeper to join mission-driven company. He or she will report to the Chief Operating Officer, support the Executive team and manage and maintain the company’s books and records. We want an individual who is self-sufficient, can manage all administrative functions for a growing company and has a dynamic skill set to tackle a diverse array of day-to-day tasks that arise.

We have a number of staff based in the US with Latin American regional operations in Ecuador and Colombia.  The position will be based in the New York, NY, although exceptional candidates residing elsewhere may be considered.

Specific responsibilities include:

Administrative

  • Perform all administrative functions, scheduling and travel for the Executive Team and other Senior Staff.
  • Maintain a well-organized document management system with all of the company’s records.
  • Oversee administration of all company benefits.
  • Maintain all HR related policies and procedures including, but not limited to employee records, accrued vacation and sick leaves.
  • Oversee all legal filings for the company’s legal entities.
  • Coordinate with Executive Team for all employee evaluations and annual review processes.

Financial

  • Maintain accurate and up-to-date accounts in QuickBooks for all the company’s legal entities.
  • Prepare all checks, wires, payroll and process all expense reimbursements and invoices for review and approval.
  • Manage accounts payable and accounts receivables, oversee bank accounts for each legal entity and ensure stable cash flow for daily operations.
  • Maintain inventory of all fixed assets.
  • Oversee tax filings for each legal entity in conjunction with external accounting firm.
  • Oversee preparation of annual financial audit with external accounting firm.
  • Provide timely and accurate analysis of budgets, financial trends and forecasts upon request of the Executive Team.

Required Qualifications

The Executive Assistant/Bookkeeper will be expected to build and manage a strong administrative and record-keeping system and maintain accurate and up-to-date books and records for each of the company’s legal entities. The successful candidate will hold at least an undergraduate degree, have at least 5-7 years of combined work experience as a bookkeeper and administrative assistant and demonstrate:

  • Flexibility, enterprise, autonomy, dedication and ability to work in a collaborative environment
  • Superior ethics, leadership and project execution
  • Extraordinary attention to detail and excellent communication, writing and facilitation skills.
  • All the usual expectations regarding IT skills and facility with our software.
  • Demonstrable success in previous employment positions.

Preferred Qualifications:

Candidates with the following experience will be given preference in the selection process:

  • Solid working knowledge of budgeting, financial planning and accounting.
  • A well-developed knowledge of Quickbooks.
  • Bilingual English/Spanish; experience working in LATAM is preferred.
  • Facility and knowledge of most recent administrative technologies.
  • CPA License is preferred.
  • Knowledge of the oil and gas industry and certification systems is preferred.
