The Associate, Education Operations & Production will support both the development and delivery of USGBC instructor-led education products and the internal fulfillment needs for USGBC’s Education Department. Time will be shared equally between the tasks listed below.

The Associate will work closely with the Director of Education Operations, the Education Delivery and Resources Coordinators and other Education business units to ensure the effective fulfillment of USGBC Education for each client. Additionally, this role entails providing efficient and comprehensive operational support to the education department. Responsibilities include report tracking, purchase order and invoice processing, preparing documents and filing, research, and report preparation. Ideal candidates will work well independently and in team settings, are extremely detail oriented, have excellent Excel skills, have interest in contracts and license documents and regularly show initiative.

For instructor-led courses (online blended learning and full-day and half-day workshops), Associate will cull developed content into course materials and other product resources, working closely with internal and external subject matter experts and other USGBC departments and Education teams. The Associate will support the Manager, Instructor-Led Education on all aspects of product development, ensuring project deadlines are met and resources are successfully launched; Associate is encouraged to bring innovation to the role.

Specific Responsibilities Include

Operations Responsibilities

  • Education Fulfillment:
    • Track contract renewals, expirations and payments
    • Process royalty payments received and due
    • Update and maintain financials for weekly, quarterly and year-end reports
    • Track monthly numbers and financials for all education business units
    • Assist in fulfillment of client orders, working cross-departmentally, including following up on outstanding payments
    • Set-up and maintain workshop registrations through SAP database
    • Create and monitor promotional codes for product discounts and complimentary orders
    • Monitor contract, license and agreement terms
    • Create and process task orders, purchase orders and invoices
    • Fulfill and deliver participant certificates of attendance
  • General Department Operations:
    • Maintain current knowledge and understanding of all Education products and services
    • Assist in seamless transition between partner relations and education fulfillment through close collaboration with Education Delivery Coordinator and other business units to complete transactions
    • Assist in business planning, budgeting, performance tracking and reporting efforts
    • Provide additional administrative duties and tasks as needed
  • Accept additional tasks and responsibilities as identified and assigned by Education Directors

Production Responsibilities

  • Coordinate development of USGBC education resources, including:
    • Organize, collect and edit developed content and materials into final education product (handouts, uploaded documents, compiled participant workbooks, etc.)
    • Implement production timeline for education resources through facilitation of planning meetings, monitoring deadlines and quality control of final product
    • Act as the point of contact for vendor, subject matter experts and staff in the production and delivery of in person and online, blended learning products
  • Support education product launch and delivery, including:
    • Support and manage internal and external systems such as: course upload to website, materials upload for printing, marketing plan, course content to extranet, to ready products for launch.
    • Oversee successful submission of continuing education (CE) hours to various CE providers. Specific responsibilities include register and maintain content, create certificates, draft course descriptions and manage relationships with CE providers, with the support of Education operations and administration staff.
    • Assist in implementation plan to inform/update relevant partners and groups on status of/updates to production timelines of all instructor-led products.
  • Support customer service questions related to instructor-led education resource, including:
    • Provide regular updates and training materials about new resources
    • Assist delivery team in response to escalated customer service inquiries
  • Support misc. education resource production efforts as needed.
