Title:               Associate, Contract & Grants Administration

Reports To:    Manager, Contract & Grants Administration

Location:         Washington, DC

The Rainforest Alliance (RA) is an international nonprofit organization that works to conserve biodiversity and ensure sustainable livelihoods by transforming land-use practices, business practices and consumer behavior. Based in New York City, with offices throughout the United States and worldwide, the Rainforest Alliance works with people whose livelihoods depend on the land, helping them transform the way they grow food, harvest wood and host travelers.

Position Summary:

The Associate, Contracts & Grants Administration will be responsible for providing support to the Manager, Contracts & Grants by maintaining agreements database and files, providing follow-up on compliance requirements, and researching donor regulations.  Under the supervision on the Manager, Contact & Grants Administration, s/he will draft contracts, coordinate with other divisions, and support special projects.  

Responsibilities:

Cost Analysis and Proposals

Participate in the proposal development for government and multilateral donors, in coordination with Development and Program;

Agreement Management and Administration

Maintain permanent files according to protocols including successful proposals, all original award documents and official correspondence regarding funding or other agreement terms and conditions; monitor filing and other sub management systems when responsibilities are delegated to the field;

Monitor, track and report on donor deliverables;

Collect donor financial reports and invoices for filing;

Research donor requirements, whether during proposal development or project implementation;

Draft correspondence seeking client Agreement Officer approvals as required by Agreement terms and conditions;

Maintain Agreements database as well as coordinate assistance to users and manage user access levels;

Provide training to new users for agreements database;

In coordination with HR-NY, conduct and/or coordinate different types of  required checks;

Subawards

Ensure that contractual agreements are created according to approved templates and policies and donor requirements;

Prepare subawards and modifications according to donor regulations and RA policies and procedures.

Policies and Operations

Contribute to and assist with establishing and/or enhancing operational policies and procedures for procurement and contracts/grants management; and

Other duties as assigned.


Qualifications:

Bachelors degree in accounting, finance, or related field, or comparable work experience;

Minimum of 2-5 years of related experience, including demonstrated proposal budget development experience;

Excellent organizational skills, ability to work independently as well as in a team environment, assess priorities and multi-task with strong attention to detail;

Excellent verbal and written communication skills;

Strong analytical skills;

Strong computer skills (including MS Word and Excel);

Knowledge of OMB A-110 and A-122 preferred; and

Language fluency in Spanish or French a plus.

Salary: 

Commensurate with experience.
