Job Title:  Assistant Student Support Officer / Post Graduate Administrator

Hours:  40 hours per week.

Responsible to:Programme Leader (Distance Learning) & Course Director

Status: Associate co-operative member of CAT management system

Salary: £ 13,900This post is subject to a 6-month probationary period. Split of time may be subject to periodic review.Scope:This is an exciting opportunity to work in the Graduate School of the Environment assisting the Post Graduate Administrators of our various exciting new programmes. It is expected that 3 days per week on average, will be spent at the Eco Parc in Machynlleth working to support the distance learning students. The other 2 days a week, on average, will be spent on the main CAT site working on the attendance postgraduate programmes. 

The duties of the Assistant Student Support Officer (Distance Learning – 3 days per week) include: -

Control of student records

·         Enrolment and applications, liaison with the University of East London, student records, management, development and monitoring, communications with students on records and answering administrative enquiries from students.Management of MSc modules·         Placing of module contents and activities on UEL+ VLE, monitoring and responding to queries on current module contents, liaison with DL tutors, compiling module bookings and managing module material mail outs.

Pro-active student support

·         Monitoring student progress, placing and sending of notices and announcements, issuing regular reminders re coursework matters, facilitating student self-help groups, fielding enquiries from students needing help, fielding enquiries from students with special needs and liaison with DL tutors.

DL course development work

·         Assisting with the updates of course materials, in liaison with DL tutors, editing and DTPing of supplementary materials, in liaison with DL tutors and developing collection of audio records of lectures.

Marketing

·         Answering email enquiries with pre-prepared responses, answering phone enquiries from prospective students, updating of web adverts and managing Google-click[HC1] . Cover·         Providing cover for other Administrators for periods of annual leave or illness The duties of the Assistant Post Graduate Administrator (2 days per week) include: -
  • Answering telephone, postal and email enquiries from potential and current students and staff and routine administration
  • Assistance in the maintenance of the postgraduate databases.
  • Liaising with potential students and preparing for enrolment. Enrolling students, including liaison with the CAT Student Finance Clerk and the Course Administrator at the UEL.
  • Reporting to and attending meetings at UEL as required
·         Preparing rooms and trouble shooting during the modules·         Providing cover for other Administrators for periods of annual leave or illness
  • Assisting with marketing of the postgraduate programmes and contributing to the maintenance and development of the Graduate School web site
  • Assisting with compliance with Health and Safety regulations
  • Other duties as required by the Course Director
 Wider Management:
  • Following the completion of a six month probationary period, to participate in the wider organisational management structure, including relevant meetings, taking part in recruitment panels, carrying out duties according to agreed rotas and assuming periodic membership of the Overview Management Group and various sub-committees.
  • To be responsible for Health and Safety issues within the area defined in liaison with the health and Safety Committee
  • Any other duties as requested by the elected Management Group
