Description

Title: Advancement Coordinator, Mid-Range Donor Program

Department: Office of Advancement

Reports To: Advancement Director, Mid-Range Donor Program

Context: This position will support the Mid-Range Donor Program, which places emphasis on engaging leadership volunteers in peer-to-peer identification, cultivation, and stewardship of donors who give $10,000 or more annually.

Scope: The Advancement Coordinator performs a variety of functions such as coordinating communications with volunteers; providing tools to volunteers; performing research of donors; assisting in event logistics for donors; maintaining comprehensive records of donor activity; and prospecting contacts utilizing donor database. Works with Sierra Club leaders, donors, and senior staff.

Job Activities:

1. Utilizes various software programs, databases, and web-based tools.

2. Interacts with leadership volunteers, donors, and conservation team members as principle coordinator on donor events and communications.

3. Works with the Advancement Office’s communications team on donor communications materials and fundraising tools for volunteers.

4. Performs research of donors as directed by supervisor. Maintains database information on donors. Determines donor assets, biographical data, philanthropic activities, environmental interests and Club involvement. Researches and prepares special projects and reports.

5. Assists with the planning of activities for donor events; including invitation lists, creates and produces informational materials, oversees caterers and suppliers, arranges for facilities and hotel accommodations, arranges speakers for meetings. Monitors all event deadlines.

6. Schedules, confirms, and arranges meetings and travel. Schedules visits and meetings with donors, volunteers, and prospects as directed by his/her supervisor. Assists with departmental cultivation and stewardship events. Assists in stewardship and cultivation of prospects.

7. Performs word processing, distributes and files memos, and generates correspondence and reports for donors and prospects.

8. Updates Prospect Tracking System: Analyzes incoming and outgoing materials pertaining to the cultivation and solicitation of donor prospects. Inputs this information into donor database and provides analyses and disseminates information relevant to cultivation and solicitation. Identifies and resolves discrepancies among in-house records.

9. Responds to, screens, or directs calls and requests from donors, members, volunteers and the general public. Handles inquiries related to sensitive or confidential matters.

10. Performs miscellaneous duties as directed.

Knowledge and Skills:

-- Excellent word processing and proofreading skills. Proficient with usage of Microsoft applications - Word, Excel, PowerPoint.

-- Excellent written and verbal communication skills. 

-- 1 year of office or research experience with proficiency at using the various research software packages including Lexus/Nexus.

-- Knowledge of office record keeping systems. Strong organizational skills with demonstrated ability to plan, schedule, and coordinate multiple events and activities.

-- Ability to prioritize and meet deadlines in a fast-paced environment, to use tact and diplomacy in dealing with confidential and sensitive matters, and ability to work with diverse groups of people.


This position is represented by a collective bargaining unit and is subject to the terms and conditions of the contract between Sierra Club and Sierra Employee Alliance.
