Administrator, Brussels

ClientEarth is a non-profit environmental law, science and policy organisation with offices in London, Brussels, and Warsaw. We provide dedicated public-interest legal capacity, working with environmental NGOs and other stakeholders and acting as legal advocates for environmental objectives. We work at a policy and legislative level to lobby for strong laws and policies that protect the environment, and we pursue litigation that supports our strategic objectives. Our work is axed on the development and execution of clear strategies and productive partnerships to ensure our actions to protect the human right to a clean and healthy environment have maximum impact.

About the position

ClientEarth is looking to recruit a committed, energetic and organised individual to support our team of lawyers in Brussels and ensure the smooth running of the Brussels office.
The successful applicant will be required to fulfil a broad and interesting range of duties, including:

Strategic & organisational

  • Working in coordination with the London Administration to ensure that in every project the approach is consistent with ClientEarth’s mission, vision and values and consistency is achieved across all offices in the development/review of systems and procedures;

Office Administration

  • First point of contact for external enquiries, including receiving visitors, telephone enquiries, processing incoming and outgoing post;
  • Undertake core administrative duties and assisting in the day-to-day running of the Brussels office including, but not limited to, ordering stationery, supplies, and arranging travel following internal processes;
  • Ensure all local organisational and governance requirements are met in an effective and timely manner;
  • Developing relationships, engaging with external partners and contractors, and maintain effective working relationships with them to ensure efficient service is provided to ClientEarth. (i.e local IT consultant, Partena, etc.);
  • Provide IT support to all Brussels staff and other CE staff when required, including demonstrating document templates in Word and PowerPoint, providing basic trainings in Word, Excel, INVU, the use of printer/copier/scanner, etc;
  • Work in collaboration with London Finance Managers to ensure smooth running of the accounts for ClientEarth Brussels.
  • In coordination with London Administrator, develop and update induction material for Brussels interns, volunteers and staff, and carry our inductions for all office and IT systems
  • Work in collaboration with the HR manager and Partena to ensure smooth running of the HR processes for ClientEarth.
  • Undertake any other task as assigned.

This position is based in Brussels with some travel to ClientEarth’s London office.

About you

Key soft skills: organisation, prioritisation, communication,

You will have at least two years experience of administrative work and preferably will have managed a small office in Belgium. A sound working knowledge of the Belgian administration, including experience liaising with Partena, will be highly advantageous.

You will be highly organised and confident, with excellent written and verbal skills in both English and French. You will be passionate about the environment and want to grow as the organisation grows.

A strong working knowledge of Word, PowerPoint and Excel is required. Experience with databases is an advantage, and a willingness to engage in IT-related tasks and to learn and quickly master new systems and software programmes is crucial.

We are looking for a reliable, self-motivated individual who thrives in a team environment. The successful applicant will be able to bring imagination and initiative to the role, and will be comfortable working closely with senior staff, and with colleagues from throughout Europe and beyond.

Start date: as soon as possible in February 2014.

Salary: €25,000-32,000 depending on experience.
