Primary Purpose of the Position: The Administrative Coordinator will provide overall coordination and administrative support for NPCA’s Northwest Regional Office (NWRO) and will take the lead on maintaining office equipment and supplies, monthly reporting, twice-annual newsletter and other assigned projects. This position will coordinate 4 plus volunteer days per year and must be comfortable working with volunteers and National Park Service staff. This Administrative Coordinator will also provide support to the Regional Development Director including record keeping, prospect research and event coordination.
 
Essential Functions:

Provide administrative support and coordination for Regional Director and Northwest staff. Assist in scheduling meetings, activities, and travel.  Liaison between Northwest Regional Office and the national office (WDC). Coordinate, complete and submit necessary expense reports, monthly regional reports, leave and activity reports, reimbursements and programmatic reports in timely manner. Ensure proper coding and payment of bills and accounts, including contracts. Prepare correspondence for NWRO staff. Keep the office space functional and organized. Responsible for oversight of information systems and office equipment. Assist with development and oversight of Northwest budgets, including monthly review of general ledger reports and financial statements from WDC. Prepare and distribute printed materials such as twice yearly Field Reports (newsletters), cards and letters to Northwest members, and various reports. Coordinate logistics for and assist with special events.

Provide administrative support for Regional Development Director. Responsible for database management using BBEC software program. Provide event support and logistics for up to 7 donor events per year. Research potential major donors, including political donations and giving history. Assist Development Director with general donor relations activities including mailings. Coordinate up to 6 Regional Council Meetings throughout the year.

Manage Northwest volunteer corps and activities. Coordinate Northwest volunteer park days, including Coastal Clean Up, National Trails Day and National Public Lands Day events, including coordination with volunteers and Park Service staff. Serve as NPCA point person for Northwest National Park Family Day. Coordinate other volunteer/donor special events throughout the year. Expand volunteer base to supplement programmatic work.

Minimum Work Schedule: Monday- Friday, between 9 AM-5 PM up to 25 hours per week (or reasonable approved variation of days and hours)
 
Minimum Scope of Position: Interacts with small on-site staff, volunteers, members, donors, potential donors, diverse public and community partners/allies. Interaction with WDC staff on all levels—Regional Operations, Membership, Development, IT, Communications, etc.—via phone and email.
 
Minimum Qualifications, Competencies, Skills, Education, and Traits:
 
  • Preferred B.A. or B.S. degree or equivalent experience, or 2 years relative experience
  • Computer proficient; efficient using Microsoft Office--Word, Excel, Access, PowerPoint; familiar with Internet search methods; strong ability to learn and adapt to new systems or programs. Preferred familiarity with development software such as BBEC
  • Ability to do basic financial functions (pay bills, track several budgets, create reports, etc.)
  • Proven excellent written and oral communications skills, including one on one, in small groups, and in public situations.
  • Capacity to work effectively in small-team setting to organize tasks, to set and observe priorities, and to maintain schedules.
  • Ability to professionally engage and interact with the public;
  • Ability to create and maintain office-wide organizational systems;
  • Non-profit and grassroots experience a plus
  • Strong personal commitment to National Park System protection, with knowledge of Northwest national parks preferred.
  • Belief in NPCA’s mission, campaigns, and programs
