Position Summary

The Administrative Associate is an integral team member that ensures the efficient operation of the Los Angeles Program Office as the Trust for Public Land carries out its mission, programs and conservation services in Los Angeles County. The person in this position performs necessary organizational, administrative and fund development responsibilities as well as community-organizing tasks, as needed.

Essential Functions

Administration

  • Provide administrative support to the Los Angeles County team.
  • Serve as the first point of contact for visitors and callers in Los Angeles and for general public inquiries
  • Order and maintain supplies, equipment, and work with related vendors
  • Prepare and track ongoing invoices and accounts
  • Organize office calendar, meetings, and conference calls
  • Facilitate compliance with requests from regional and national offices
  • Act as main point of contact for all IT needs and issues with appropriate staff/vendors as needed
  • Create and maintain processes for the improved efficiency of the offices

Supporting Land Conservation

  • Provide administrative support to the Los Angeles team, including, but not limited to organizing meetings, travel arrangements, conference calls, expense reports, etc.
  • Assist the Los Angeles staff in preparing PowerPoint presentations, correspondence, reports, internal processing, etc. associated with our vision, finance, and transaction work.
  • Development and Marketing:
  • Support the Los Angeles Program Director and the Los Angeles team in tracking visits, phone calls, follow up and necessary action items, as needed
  • Coordinate the preparation and distribution of mailings, newsletters and other communication
  • As directed, assist in organizing press, marketing materials, etc. for the distribution to key contacts
  • Assist in the coordination and staffing of events and event logistics
  • Facilitate communications and gatherings for the State Board of Directors.
  • On occasion, act as Spanish speaking media spokesperson, if needed
  • Other duties as assigned

Community Organizing and Outreach

  • Work with program staff to conduct community outreach activities in neighborhoods where parks are being developed
  • Develop a core group of community members and community stakeholders for each new park and garden project
  • Conduct door-to-door outreach, as needed.
  • Design and implement effective outreach and organizing strategies
  • Development and maintain community and stakeholder contact list
  • Work with program staff to prepare materials for community workshops
  • In cooperation with program staff help facilitate community park design workshops
  • Coordinate with public agencies on grants.
  • Representing TPL at various events (tabling, civic events, project events, etc.)

Qualifications

  • High school diploma and AS or AA. BA degree preferred
  • Minimum of three or more years of support experience or equivalent
  • Ability to proactively communicate needs, priorities, challenges and recommendations
  • Excellent organizational abilities, attention to detail, promptness, dependability, and discretion with sensitive and confidential information
  • Excellent oral and written communication skills reflecting solid customer service in person and via the telephone and email
  • Fluency in Spanish, both written and spoken
  • Knowledge of software programs for word processing, visual presentations, data entry and spreadsheets
  • Knowledge of database software and experience generating reports - prior experience with Pledgemaker database software a plus
  • Prior experience with fundraising and special events a plus
