International public interest environmental law group, ClientEarth is seeking an administration officer for its Warsaw office. The successful applicant will need to demonstrate the right combination of skills, initiative and organisational drive necessary to support the smooth running of a small and busy office. Ideally you’ll also have a passion for the environment and making a positive contribution to civil society.
The Warsaw administration officer is part of the administration team which supports our operations and people across London, Brussels and Warsaw and ensures strong internal communication and coordination within and between ClientEarth’s offices.
The successful applicant will be required to fulfil a broad and interesting range of duties, including:
- undertaking core administrative, finance and human resources duties as part of the day-to-day running of the Warsaw office according to the procedures and handbook
- supporting the work of the Management Board and Board of Trustees of Fundacja ClientEarth Poland in meeting governance obligations as well as organising meetings, etc.
- being a contact person for external enquiries, including answering the phone, greeting visitors, sorting post and coordination of documents in the office
- maintaining relationships with key suppliers, including our accountant, IT contractor and stationery suppliers
- assisting the London administrator in maintaining and developing ClientEarth’s global office systems
- providing basic office support and training to our Warsaw legal team

We are looking for a reliable, self-motivated individual who thrives in a team environment. You will be highly organised, confident, and positive with excellent written and verbal skills in both English and Polish. As the first point of contact for our callers and visitors, you will need a professional, friendly and pleasant manner to represent the organisation. You will also need to be comfortable working closely with senior staff, and with colleagues throughout Europe.
You will need to demonstrate outstanding organisational skills necessary to fulfil current administration requirements for the Warsaw office as well as developing new systems and procedures where required (under the supervision of the London administrator). You will need to be able to handle a number of competing priorities and work with efficiency. Some prior experience of administrative work or demonstrated organisational skills and abilities will be needed. Experience working in an office environment and a working knowledge of Polish administration and accounting, including the obligations of charitable Foundations, will be highly advantageous.
You will be handling legal and financial matters and will have an important role in ensuring compliance of the foundation in legal, administrative, financial and personnel matters. Accordingly, you will need to demonstrate excellent attention to detail and a concern for quality and accuracy in all our operations. You will also have the discretion to handle sensitive and confidential information appropriately.
You will be supporting a team of staff in the Warsaw office and providing training and support on office systems and administration. A strong working knowledge of Word, PowerPoint and Excel is required. Experience with databases is an advantage, and a willingness to engage in IT-related tasks and to learn and quickly master new systems and software programmes is crucial. You may also be required to undertake some translation to support the administration of the office.
