What will you be doing? General administrative duties
- Handle all front office requirements such as telephone, enquiry, coordination etc
- Ensure office is clean and proper hygiene is maintained
- Ensure opening and closing of office on time and be responsible for handling office keys
- Ensure office equipment is regularly serviced
- Manage the petty cash of the office
- Maintain office filing and storage system
- Ensure adequate stock of office stationery is available at all times
- Regularly coordinate with the HR, Finance, Database & Supporter Relations team for various duties
Staff related duties
- Assist the Territory Manager by coordinating staff recruitment & training
- Maintain employee records for all the office staff
- Maintain attendance & leave records for the employees
- Maintain the staff incentive list & report back to Finance team
- Enter & keep all records of the financial supporters enrolled in the city
Other duties
- Allocate work to and oversee the duties of the Office Assistant
- Maintain records of supporter details to cross check with the database team to ensure we do not miss out on any info
- Prepare reports capturing the performance of the city and the staff, usually following existing report templates
- Other duties as assigned by the manager
What you need for this position?
- Graduate in any discipline
- Basic knowledge of the front office and office administration and handling vendors/suppliers
- Basic knowledge of maintaining employee records & attendance
- Proficient in entering and maintaining data in Excel & typing office letters in MS Word
- Good negotiation skills with external vendors
- Fluent in English and Hindi
- Experience in handling petty cash
