FLSA: Part-time (30 hours/5 days per week; M-F), Non-Exempt Position
Supervised by: Director of Administration and Finance, & Admin Support to Executive Director

POSITION SUMMARY:
The International Wolf Center is seeking an energetic, outgoing and detail-oriented individual to assist with accounting functions in our Finance Department and provide administrative support to our Executive Director.  Based out of our Twin Cities office in New Hope, Minnesota, the Accounting and Operations Assistant will be involved in providing support for a variety of accounting-related functions, including accounts payable, accounts receivable, bank deposits and reconciliation, and data entry in to our Quickbooks accounting system.  They will provide administrative support to the Executive Director in assisting with responding to email, voicemail and phone calls; scheduling of appointments and staff meetings; preparation of letters and correspondence; and maintaining corporate records.

PRINCIPAL DUTIES AND RESPONSIBILITIES
The responsibilities of the Accounting and Operations Assistant may vary depending upon the needs of the organization and will include:

Accounting 70%:

  • Preparation and recording of A/P, cash disbursements, AR, cash receipts, bank deposits, and general journal entries. 35%
  • Reconcile retail end of month reports; record and pay monthly MN Sales Tax. 5%
  • Reconciliation of bank and credit card statements. 15%
  • Questions and investigates transactions that appear to deviate from normal parameters.
  • Back-up Director of Administration and Finance for payroll as directed with discretion.
  • Prepare aging AP and AR reports and reconcile monthly.  Contact customers as necessary.  5%
  • Generate financial reports from Quickbooks, spreadsheets and graphs as requested. 5%
  • Assist the Director of Administration and Finance with the year-end financial audit. 5%

Operations 30%

  • Provide administrative support to the Executive Director, assisting with email, scheduling, preparing letters and correspondence, and telephone support.  15%
  • Maintain and order office supplies and postage. 5%
  • Troubleshoot/maintain office equipment and technology, including telephones, computers, internet, and printers.   5%
  • Provide assistance and coordination regarding company meetings and events, including facilitating and ordering the menu, scheduling, invitation, reservation and preparation of guest accommodations and the distribution and preparation of board/committee reports.
  • Maintain corporate records, reports, and files in an organized manner. 5%
  • Perform special projects as requested
  • Follow established policies related to the job and make recommendations for improving procedures and practices.
  • Contribute in increasing team efficiency by providing operational and administrative support.
  • Other activities as determined by the Director of Administration and Finance and Executive Director.

QUALIFICATIONS
Knowledge, Skills and Abilities necessary to perform the essential functions of this position include:

  • Strong computer skills with proficiency in using Quickbooks, Microsoft Word, Microsoft Excel.
  • Experience with Intuit (Quickbooks) Point-Of-Sale system a plus.
  • Strong verbal & written communication skills.
  • Must be flexible and be able to perform within a changing environment and able to multi-task and perform under deadlines.
  • Effective organizational and time management skills.
  • Able to prioritize work to consistently meet timelines.
    • Exercises good judgment and should be able to work with minimal direction.
    • Perform calculations such as addition, subtraction, multiplication, division and percentages.
    • Demonstrated proficiency in use of standard office equipment, including copier and fax.
    • Background analysis and department of motor vehicle check required.

ABILITIES

  • Must be able to sit at a computer and telephone for at least 80% of the time
  • Must comprehend written and verbal instructions and have excellent ability to read, write and communicate in English
  • Must have visual acuity and manual dexterity to perform the essential functions of this position.
  • Ability to clearly communicate with the public.
  • Ability to lift and move 10 pounds.
  • Must have a valid Minnesota driver’s license and reliable transportation.
    • Occasional evening or weekend hours may be required, as well as occasional (1-2x per year) overnight trips to our Interpretive Center in Ely, Minnesota for staff meetings or events.
