ADMINISTRATIVE ASSISTANT
Job description

Definition: The Administrative Assistant is responsible for assisting with the daily operations of Ecology Project International. The majority of the Administrative Assistant’s time is spent supporting the team with school group and individual participant registrations, database entry, and general office support. The Assistant may provide support to recruiting, development, and program teams as needed.

Accountability: The Administrative Assistant reports to the Administrative Coordinator.

Responsibilities:
Office Operations
• Coordinate paper file management for general EPI institutional documents and information
• Help to communicate program information to parents, participants, chaperones, and teachers 
• Assist with mailings and other administrative tasks as requested
• Answer telephone calls in a courteous and professional manner
• Deliver, pick up, and distribute mail and faxes
• Prepare general marketing and program information packets upon request
• Provide administrative support to the Executive Director and Finance and Administration Manager
• Assist with office and Swift Center maintenance and upkeep; coordinate weekly “Hands to Work”
• Assist Administrative Coordinator with recruitment and coordination of volunteers for the EPI office
Participant Enrollment Process
• Work with the Administrative Coordinator to ensure participants receive enrollment information packets, submit paperwork and payments in a timely manner, are prepared for EPI courses and receive excellent customer service
• Data entry of participant information 
• Copy and prepare enrollment materials
• Support the medical review process as needed
Programs
• Assist with field site equipment ordering
• Help coordinate and manage instructor hiring
• Support employee pro-deal process
Development
• Write grants and help with grant reports as needed and/or schedule allows
• Provide support for mailings and other development events

Qualifications:
Required:
• The desire to make a difference in the world
• Excellent PC skills and experience with Microsoft Office standard applications, database experience is a plus
• Knowledge of general office procedures
• Excellent written and verbal communication skills
• Detail oriented
• Ability to multi-task

Closing date: August 31, 2012

Schedule: The Administrative Assistant will work 30 hours a week in our Missoula office.

Compensation: $11/hour plus an excellent benefits package that includes paid time off, sick leave, holidays, health insurance, and professional development.
