The Natural Resources Defense Council (NRDC) is seeking a Program Assistant to join its Energy program in the San Francisco office.  NRDC is a non-profit global environmental organization with more than 1.3 million members and online activists.  We have offices in New York, Washington, D.C., San Francisco, Los Angeles, Chicago and Beijing, China.  Our staff of over 380 includes lawyers, scientists, economists, and policy analysts who work to protect the environment and public health through advocacy and education. 

Responsibilities include: 

  • Managing a discretionary budget including staff expenses and reimbursements and update staff on its status;
  • Tracking project grant, coordinating preparation of new proposals, annual renewals, progress and final reports to foundations and major donors;
  • Coordinate the preparation of consulting agreements and keep track of consulting expenses and contract deadlines and payments.
  • Coordinating staff schedules, making travel arrangements and reconciling expenses monthly, half of which include international travel;
  • Serving as contact person for program information;
  • Maintaining electronic and hard copy document and correspondence files for Energy Program staff;
  • Proofreading, editing, and word processing legal, scientific and technical documents, memoranda, reports, publications, correspondence, fundraising proposals, etc.;
  • Drafting correspondence and meeting summaries;
  • Performing various office tasks such as copying, mailing, faxing, scheduling conference calls and meetings, reserving conference rooms;
  • Conducting internet research; and,
  • Assisting with coverage for other program assistants when they are out of the office. 
Requirements: 

Qualifications: 

  • Three years full-time experience in a secretarial/administrative position or equivalent relevant experience;
  • BA/BS graduate with excellent academic credentials desired.
  • Strong organizational skills to work with a large number of tasks, set priorities, follow institutional procedures and perform undirected work; meticulous attention to detail;
  • Internet savvy plus a proven mastery of Office applications including Word, PowerPoint, Excel and Outlook; Great Plains accounting software knowledge helpful, but not required.                                                                             
  • Understands the nuances of travel, meetings, and conference calls for globally-located participants.
  • Highly trustworthy and able to deal with confidential information.
  • A proactive approach that is intuitive and able to anticipate circumstances.
  • Ability to work accurately and with composure under deadline pressure;
  • Thrives in an environment where multiple activities are on going.
  • Interest in environmental and/or social issues.
  • Superior proofreading skills;
  • Excellent written and oral communication skills resulting in ability to work well with different people;
  • Minimum of 50 wpm accurate word processing speed;
  • Willingness to be available for occasional overtime work;
