Job Description:

World Wildlife Fund (WWF), the world's leading conservation organization, seeks a Project Coordinator for the office of the Vice President of Program Operations. Under the direction of the vice president of program operations, manages information storage and dissemination for the unit, ensures reporting requirements and schedules are up to date and accessible to all program operations staff. Provides confidential administrative support to the executive using extensive knowledge of WWF's policies, organization, and a high level of technical skill. This position operates with considerable independent judgment and initiative, and contributes to the efficient and successful functioning of the department.

Major Duties & Responsibilities:
1.Ensures all program operations requirements and schedules, are up to date and posted to the intranet and other shared access sites as appropriate. This includes budget materials and schedules, restricted revenue reports, reporting formats and schedules, the program administration performance standards, policies and procedures and training materials. Maintains program operations intranet site.
2.Manages administrative tasks for vice president, including meeting planning, travel arrangements, business correspondence, and other materials. Drafts replies, refers inquiries to appropriate staff member. Ensures that filing and record-keeping is in compliance with organizational standards and that contractual documentation and other compliance information are accurately retained. Assists with and other general office duties.
3.Assists with the submission process for the annual program budget and midyear review process. Consolidates program budget information and prepares reports for senior review team. Schedules review meetings with individual programs for the vice president of program operations, senior vice-presidents, and finance staff.
4.Organizes field operations training logistics in coordination with the department of Human Resources and the regional secretariats, as well as the annual program administration workshop and other Network meetings as needed. Responsible for identifying training site and hotels, and taking care of all logistics, including formal letters of invitation and other communications required to assist participants in obtaining visas.
5.Prepares and monitors agreements for grantees, consultants, and WWF network. Prepares paper work for approval, secures signatures, and distributes documents to appropriate parties.
6.Assists Program Operations teams in large proposals and reporting, and special projects.
7.Performs other duties as assigned.

Mimimum Requirements (ALL of the following must be met):
1.Must have Bachelor's degree plus two years, or a minimum of four years relevant experience
2.Very organizational and detail oriented
3.Strong analytical skills
4.Excellent communication and interpersonal skills requiring courtesy, tact, and diplomacy necessary to effectively manage outside-generated workflow and to communicate with staff
5.Initiative, ability to prioritize and complete work with minimal supervision
6.Ability to manage multiple projects and priorities
7.Excellent skills in Outlook, Word and Excel
8.Familiarity with Powerpoint

Preferred skills/experience:
-Some intranet or web experience
