Purpose Ensure an effective working environment by providing a broad scope of administrative and organizational support on programme matters to the Country Office Director and to the programme staff. This involves contributing to the development of appropriate systems and procedures to ensure efficient, effective and high quality administrative services. Accountabilities/Responsibilities
- Responsibilities include a variety of administrative functions including coordinating and organizing of the management and programme activities.
- Ensures flow of communication and information to the Country Office Director.
- Maintains diary, organizes appointments and meetings, and handles communications for the Country Office Director in collaboration with the Office Manager.
- Responsible for induction of new staff members on campaign related issues and systems.
- Manages campaign related and administrative filing systems and databases.
- Coordinates with Office Manager in administration of Grants and Contracts in accordance with HQ policies and in liaison with campaign and programme staff.
- Organizes programme meetings and other campaign events as required.
- Provides support for all current Office campaign activities as requested and screens all publications for articles of interest before distribution.
- Assists the Communications Officer with the production of campaign related materials (proof reading, desktop publishing, document layout, etc.).
- Develops and maintains the EU Office contacts database.
- Responds appropriately to communications from general public and IFAW supporters.
- Undertakes other duties and special projects as assigned.
Job Requirements
- One to three years relevant administrative work experience. Degree or equivalent qualification preferred. General understanding of terms and concepts relevant to the position.
- Excellent communication skills, both oral and written. Superior administrative/organizational skills, professionalism, accuracy and attention to detail most important.
- Excellent oral and written English and French essential. Dutch an asset.
- An understanding of the need for confidentiality and where this applies.
- High degree of computer literacy: MS Office Suite.
- Ability to function effectively and accurately on multiple projects in a fast-paced atmosphere.
