OCEANA is an international organization which focuses solely on oceans, and is dedicated to achieving measurable change by conducting scientific, fact-based campaigns with fixed deadlines and articulated goals.  Oceana is dedicated to its advocacy on behalf of oceans and channels their resources in strategic-directed campaigns to achieve measurable outcomes that will help return our oceans to former levels of abundance.  These campaigns are regional and international, led by teams of dedicated and talented scientists, economists, lawyers and advocates focused on measuring and achieving tangible results for the oceans.  Currently, Oceana is seeking a Manager of Events based in our New York office.  The Manager of Events, NY will work with the Director of Events to coordinate all local efforts for activities associated with Oceana’s major donor program including house-parties, trips, and other events as unique opportunities arise(such as the Ted Danson book tour).  He/she will also be responsible for the 2011 cultivation event in Santa Fe, NM, Ocean Council events (quarterly meetings and Fish School lectures and luncheons) and the annual Hamptons Splash fundraiser. The management of local corporate events may be assigned as necessary.  The Manager of Events, NY will work closely with the event co-chairs and the Oceana events team to ensure successful preparation and completion of every assigned event.  He/she will be responsible for assisting the event co-chairs/hosts, and working with the Oceana Events team, the Major Gifts team, and Oceana’s Project Manager, NY, in addition to corporations, major donors, volunteers, and others in preparation for assigned events. The Manager of Events, NY must be an energetic quick-starter who will go beyond basic requirements to provide excellent work.  He/she must be able to balance several tasks simultaneously using a high degree of judgment and adapting and functioning in a fast-paced and high demand environment.  The ideal candidate is flexible and excels at working as part of a team. Additional event-related duties will be assigned as necessary.

PRINCIPAL DUTIES AND RESPONSIBILITIES

  • Work with the Director of Events to run a comprehensive analysis of any and all proposed new events, paying particular attention to anticipated expenses and ROI
  • Produce events with high level of production value within established budgets.
  • Manage and direct the creative and production process of events from design through delivery.
  • Outline and manage production schedules for all assigned events.
  • Lead event planning meetings with internal and external partners.
  • Develop and manage production budgets for all assigned events.
  • Select, hire and direct selected vendors
  • Ensure appropriate handling and reporting of funds, in cooperation with and as directed by the Accounting Department
  • Work with the Law Department and the Director of Events to ensure compliance with laws concerning permits, raffles, auctions, sales tax, etc.
  • Assist the event co-chairs and hosts to design save the date cards and invitations.
  • Work with the co-chairs, HQ Development Associate and Major Gifts team to determine seating assignments and/or the identification of guests who deserve special attention.
  • Manage post event correspondence, acknowledgements and thank you letters, in conjunction with the Major Gifts team when applicable.
  • Coordinate responsibilities and activities related to the management of press and celebrities with the Marketing and Communications Department (MarComm).
  • Assist with the management of production crews and volunteers.
  • Research and recommend event venues.
  • Assist the event co-chairs with local administrative needs; recruitment of committee members and committee chairs and the creation of the committee ask letter.
  • Direct point of contact for committee chairs.
  • Schedule event committee meetings.
  • Manage event committees.
  • Host Committee.  Assist the event co-chairs and board members (when applicable) with the recruitment of host committee names.
  • Coordinate corporate solicitations, likely to result from auction asks, with Oceana’s NY project manager. 
  • Day-to-day contact with Oceana’s events team on all event activities
  • Prepare a run of show for all events which will be circulated to co-chairs, hosts and staff prior to the event.
  • Recruit and coordinate volunteers to assist with pre/post event and day of event activities

Education/Experience Required

  • Bachelors’ degree
  • Previous Development and Event Management experience
  • Proficient in Microsoft Office
  • Knowledge of accounting and payment processes
