Contractor: Administrative Support Services

The Conservation Alliance seeks a part-time contractor who will serve a key role in maintaining the operations of the Conservation Alliance in the areas of meeting and event support, Alliance-wide communications, and finance and operations. The Conservation Alliance connects 25 leading conservation groups that work with businesses representing over 80% of the North American grocery and food service markets. We work together to solve sustainable seafood’s biggest challenges so that oceans and the businesses that depend on them can thrive.

 

Responsibilities and Deliverables

Meetings & Event Planning

  • Ensure that Steering Committee, subcommittee, and other issue-based phone and webinar meetings are logistically well-supported, well-attended, and well-documented
  • Facilitate scheduling of conference calls, in-person meetings and webinars
  • Support in-person events and meetings, by:
    • Serving as a key liaison to restaurant, hotel and other vendors to ensure high quality services for events and meetings
    • Managing pre-meeting materials planning and assembly and transportation logistics
    • Ensuring high-quality, responsive on-site in-person meeting support

Communication with Alliance Community

  • Ensure maximum efficiency of Alliance internal communication tools
    • Maintain and update Podio membership roster, calendar and workspaces
    • Develop and maintain strong email communication protocols and ensure timely, concise high-quality emails to individuals and working groups
    • Ensure maximum efficiency of Alliance External Communication tools
      • Maintain Alliance website functions and posting schedule
      • Serve as key resource that maintains knowledge of conference calling and webinar systems; serve as host for webinars/conference calls
  • Elicit ongoing input from key internal stakeholders, collect and track information and approvals on Alliance activities

Finance & Operations

  • Serve as a key resource for:
    • Tracking invoices and expenses
    • Researching vendors and contractors and obtain relevant bids/quotes
    • Ensuring that reimbursement requests are processed in a timeline manner

 

Skills, Capabilities and Qualifications

We are looking for someone to provide world-class administrative support services to enable the Conservation Alliance for Seafood Solutions to work together even more efficiently in its efforts to advance sustainable seafood. If you are organized, proactive, self-motivated, patient, persistent and have excellent attention to detail, we would love to hear from you! Other skills and qualifications include:

  • Bachelor’s degree and three years related experience preferred
  • Computer skills should include: MS Word, MS Excel, and MS PowerPoint. Additional proficiency in WordPress a plus.
  • Ability to coordinate work on multiple projects
  • Strong analytical and problem solving skills
  • Strong written and verbal communications skills (excellent grammar, proof reading, and editing skills)
  • Experience scheduling meetings with many attendees
  • Ability to see where support is needed and to figure out how to best fill that need

This will be an hourly, contracted, work from home position averaging 20 hours per week. We are looking for someone located in North America. Some travel will be required (from two to five meetings per year).
